Purpose of the position The Assistant Team Administrator provides essential administrative and coordination support to the Technical and Crewing Teams This role ensures accurate documentation efficient communication and smooth logistics processes contributing to the overall operational effectiveness of the team Key Responsibilities Handle INFO emails and ensure timely and appropriate correspondence Process and file LO Letter of Offer and FO Final Offer reports shared by vessels in the designated system folders Manage DHL bookings track courier movements and reconcile monthly statements Maintain records of contract signings and upload scanned documents to the correct folders in the system Provide support to the Crewing Team with the preparation and distribution of crew cash allowances during vessel visits in Dubai and coordinate meal arrangements for visiting shipping team guests when needed Coordinate and respond to queries related to United Venture gate pass requests and access approvals Maintain and regularly update Excel files used for reporting and data tracking Organize and manage domestic and international travel arrangements for the Technical Team including flights accommodation visas and itineraries Company Profile Tomini Group is a privatelyowned international business group it is focused on two core sectors within transportation and maritime services shipping and classic cars
