Role Overview :
Our client is seeking a highly organized, proactive, and discreet Personal Assistant to support the CEO in her multifaceted roles as a company leader, developer, mother, and investor. This role combines traditional executive assistance with project coordination, digital publishing, PR management, and image stewardship.
Key Responsibilities :
1. Executive & Administrative Support :
- Manage the CEOs complex calendar (business meetings, investor calls, family commitments, travel arrangements).
- Coordinate domestic and international travel logistics, including visas, flights, accommodation, and itineraries.
- Screen and prioritize incoming communications (email, phone, messaging apps), drafting responses or briefings as needed.
- Prepare meeting agendas, presentations, and follow-up action items.
2. Project & Stakeholder Coordination :
Assist CEO on development projects : track milestones, liaise with technical teams, update project dashboards.Support CEOs investor activities : schedule financial reviews, prepare investment summaries, coordinate due-diligence materials.3. Ambassadors & Digital Magazine :
Plan, produce, and distribute a monthly digital magazine for the company's Ambassadors :Curate news, success stories, industry insights, and program updates.Liaise with content contributors, designers, and the CEO for final approval.Maintain an up-to-date Ambassadors database and communication calendar.Solicit feedback and engagement metrics; refine content strategy accordingly.4. Public Relations & Image Management :
Develop and execute PR initiatives with existing company's Ambassadors :Draft press releases, social media posts, and ambassador spotlights on behalf of the CEO.Coordinate interviews, testimonials, and case-study publications.Ensure the CEOs professional profiles (LinkedIn, website bio, media kit) are current, cohesive, and aligned with the company's brand.Monitor media coverage and industry trends; propose proactive outreach opportunities.5. Personal & Family Support :
Assist with personal tasks and household coordination as needed (appointments, family events, children's schedules ages 17 & 19).Serve as a gatekeeper, balancing professional and personal priorities to maximize the CEOs productivity and work-life integration.Qualifications & Skills :
Minimum 5 years experience as a PA or executive assistant to C-level executives.Exceptional organizational and time-management skills; proven ability to juggle multiple priorities.Excellent written and verbal communication; strong editorial judgment.Experience with digital publishing platforms (e.g., Mailchimp, InDesign, WordPress) and basic graphic-design oversight.PR or communications background, with media-relations experience preferred.High discretion, integrity, and respect for confidentiality.Tech-savvy : MS Office, Google Workspace, project-management tools (Asana / Trello), CRM systems.Self-starter mindset, adaptable, with a positive can-do attitude.Bachelors degree (Business Administration, Communications, or related field) is preferred.
