The Role
This role provides administrative project support to the day-to-day operations of the assigned site or project.
May be assigned to larger, more complex projects / sites. Provides guidance and direction to less experienced administrators and other staff. May act as a lead, coordinating and facilitating the work of others.

The key objectives for this role are :
Monitor and record employee work hours, overtime, and absences using manual logs or timekeeping software.Ensure timely and precise submission of timesheets to payroll departments for processing wages.Verify that timekeeping practices align with labor laws, union agreements, and company policies.Track vacation, sick leave, and other time-off requests, ensuring proper documentation and approvals.Generate regular reports on attendance, hours worked, and discrepancies for HR or management review.RESPONSIBILITIES
Key Accountabilities and Responsibilities :
Assists project team with day-to-day support of the project or siteOrganizes and expedites flow of work through project or site and initiates follow up actionMaintains knowledge of project status, scheduling requirements, and departmental operations / proceduresAssists with setup, development and coordination of site-specific PMP and PIFsSets up and maintains hard copy and electronic site file directoriesIssues and approves access to shared project drives and websitesEnsures the correct functioning of facilities, office and / or business support services.Performs clerical, administrative and general office duties including transcription, typing, and recordingEnsures reports and documents follow company and project standards and qualityManages project specific forms and instructionsCoordinates, schedules and prepares information for meetings and appointmentsAssists field operations with completion of daily time sheetsAssists with onboarding / orientation of personnelAssists with internal and external project audits
Arranges travel, accommodations and car rentalsPrepares letters and memoranda for manager's reviewGathers data and material information to be billedScans, emails, answers phone, makes copiesQUALIFICATIONS
