We are looking for an enthusiastic Head of Operations for one of our clients in Dubai.
Position Overview
As the Head of Operations at a dynamic Corporate Services Provider (CSP) in the UAE, you will oversee the end-to-end delivery of advisory services, client operations, compliance, team leadership, and business process enhancement. Reporting directly to the CEO, this role aims to relieve the CEO of daily oversight, focusing on strategic growth and market expansion. You will play a pivotal leadership role in driving operational excellence, ensuring high standards of client service, regulatory compliance, and internal efficiency across all services including regulated and non-regulated entity setup, legacy planning, immigration, and tax.
Responsibilities
- Client Advisory & Service Delivery
- Attend and lead client meetings independently or with the CEO for new business inquiries.
- Advise on licensing in UAE Mainland, Free Zones (including DIFC & ADGM), and offshore (RAK ICC and others).
- Provide structuring guidance on DIFC, ADGM, and RAK ICC Foundations.
- Advise on DIFC, ADJD, and Dubai Notarial Wills.
- Consult on Golden Visas via real estate or salary routes.
- Upsell ancillary services including bank account opening, VAT / CT registration, CT filings, accounting, and bookkeeping.
- Collaborate with the BD team on lead qualification, proposal strategy, and onboarding.
- Document Review & Quality Control
- Draft or review NDAs, Board Resolutions, Letters of Engagement, and Business Plans.
- Check accuracy and completeness of client-submitted forms, questionnaires, and incorporation documents.
- Review and finalize Wills, Foundation Charters and Bylaws, and Letters of Wishes.
- Ensure compliance with documentation standards and Workdrive storage protocols.
- Operational Oversight & Workflow Management
- Allocate work based on team capacity, expertise, and service line requirements.
- Supervise incorporation, onboarding, and post-licensing workflows for accuracy and timeliness.
- Ensure Zoho CRM data integrity – daily lead capture, deal creation, and status updates.
- Review incorporation questionnaires, business plans, and compliance checks prior to submissions.
- Oversee submission portals and timelines for client applications across jurisdictions.
- Compliance & Regulatory Management
- Supervise the compliance officer and ensure full adherence to AML / EDD requirements.
- Monitor regulatory frameworks across DIFC, ADGM, RAK ICC, and other relevant jurisdictions.
- Oversee GoAML filing, KYC / EDD documentation, and internal compliance procedures.
- Conduct internal audits and report findings to the CEO, ensuring prompt resolutions.
- Sales, Revenue & Client Growth
- Guide proposal development to ensure alignment with commercial strategy and quick turnaround.
- Track lead-to-deal conversions in CRM and support sales efforts via upsell / cross-sell initiatives.
- Achieve personal and team sales targets, monitor dashboards for performance gaps.
- Initiate client review calls and identify opportunities for deeper client engagement.
- Team Leadership & Development
- Train and mentor staff across departments including operations, sales, and compliance.
- Monitor monthly team KPIs and conduct performance reviews.
- Manage staff leave schedules and plan coverage to ensure continuity of service.
- Conduct weekly internal meetings and monthly check-ins with key clients.
- Promote a culture of accountability, knowledge sharing, and continuous learning.
- Reporting
- Prepare monthly reports for the CEO on revenue, service line performance, debtor status, and KPIs.
- Generate entity setup statistics, market insights, and service usage reports.
- Provide recommendations for internal performance improvement and client experience enhancement.
- Process Improvement & Innovation
- Review and optimize operational workflows and client delivery models.
- Ensure documentation standards, SOPs, and CRM usage guidelines are adhered to.
- Recommend new product offerings and internal process automation tools.
- Liaise with Free Zone authorities and regulators to resolve process bottlenecks.
- Training, Content & Marketing Support
- Lead or coordinate internal training on jurisdictions, regulations, and services.
- Contribute to marketing content including blogs, newsletters, and brochures.
- Collaborate with the marketing team on sales collateral updates and service brochures.
- Recruitment & Talent Strategy
- Assist the CEO and HR in identifying hiring needs and recruiting talent.
- Support onboarding, probation evaluation, and long-term succession planning.
- Advise on manpower planning aligned with growth and service demand.
