The British Embassies in Abu Dhabi and Dubai have a vacancy for a Corporate Services Estates Assistant, on a fixed term contract of one (1) year.

The jobholder will provide administrative support to the infrastructure team, with a focus on estates, maintenance and health and safety. The administrative support will focus on record keeping, minute taking, and the implementation of small projects.

Whilst the role may be based in either Abu Dhabi or Dubai, the jobholder may be required to visit the Embassy in the other Emirate, subject to operational needs.

Duties and responsibilities :

Estates and Maintenance (40%)

  • Assist the team with record keeping, file management and data entry. This includes furniture and asset inventory data management and stock control.
  • Monitor estates and maintenance tracker requests, assigning priorities where necessary and assisting the team with tracking requests to meet agreed SLAs.
  • Help collate data on Estates work including Planned Preventative Maintenance (PPMs), reactive tasks, environmental data and produce reports.
  • Deliver and oversee small estates projects.

Health and Safety (H&S) (20%) :

  • Support the design and implementation of H&S checks and assurance across the Embassy.
  • Proactively identify, report and solve H&S issues.
  • Provide assistance to the H&S Committee, such as minute taking, creation of papers and risk register updates.
  • Update H&S records to ensure compliance and that records are auditable.
  • Procurement and Contracts (30%) :

  • Assist with procurement administration in the infrastructure team. This includes updating procurement trackers, collating conflict of interest forms, drafting requirements and keeping track of key contract end dates and setting reminders for the team.
  • Corporate Services Support (10%)

  • Assist Transport Officers with high-level VIP visits and planning when required.
  • Assist with Embassy event planning when required.
  • Assist with any Embassy crisis planning or designated crisis roles where support is required.
  • Assist with wider Corporate Services and Infrastructure team priorities when required.
  • The above list is not exhaustive, and the jobholder will be required to be flexible and take on other ad hoc tasks as required across the team.

  • Essential qualifications, skills and experience

  • Demonstrated ability and experience in an administrative support position.
  • IT literate and well versed in Microsoft Office applications (Projects, Outlook, Word, Excel, PowerPoint, Teams).
  • Fluent in English, both verbal and written. Able to express ideas and messages clearly and concisely.
  • Demonstrated initiative, adaptability, and the ability to work flexibly both in a small team and individually.
  • Excellent customer service skills. Demonstrates courtesy and consideration in dealing with internal and external stakeholders. Able to show discretion in handling any sensitive matters, with the trust of all involved.
  • Excellent organisational skills, including ability to organise and prioritise workloads, organise records, meet deadlines and maintain close attention to detail.
  • Desirable qualifications, skills and experience

  • Experience and / or qualifications in the following areas : health and safety (H&S), facilities management and / or project management.
  • Experience with the Microsoft Power platform (Automate, Flows, SharePoint lists) beneficial

    Working hours and remuneration :

    The Embassy aims to offer an attractive working environment and remuneration package for this role, which includes 25 days of leave per annum (calculated pro-rata).

    The salary for this role is AED 10,056 per month.

    There are no other allowances payable as part of this package. No accommodation and relocation expenses are payable in connection with this position.

    This role is for a full-time employment, on a fixed term contract basis for one (1) year, subject to six (6) months’ probationary period. The contract may be extended, subject to satisfactory performance and on on-going business requirement.

    The Embassy is open from Monday to Friday from 0700 to 1800 hrs. The Employee’s normal weekly working hours are forty (40) Monday to Friday (inclusive). This is inclusive of one-hour paid rest break for each five (5) hours worked; the timing of the rest break shall be approved by the Employee’s Line Manager and in accordance with operational requirements.

    Whilst the role may be based in either Abu Dhabi or Dubai, the jobholder may be required to visit the Embassy in the other Emirate, subject to operational needs.

    The Embassy has an active Learning and Development Committee, and the whole of Post is committed to providing the time and resources for staff to develop personally and professionally. The 70 / 20 / 10 learning and development model is applied in a flexible manner, with extensive informal and formal opportunities readily available.

    The successful candidate will be required to transfer their visa under the Embassy's sponsorship.
