The Role The objective of this role is to provide administrative support to the valuation and advisory team and ensuring the smooth running of the office The ideal candidate should have experience working in the UAE and possess excellent communication skills have an ability to take initiative and prioritise daily tasks Key Responsibilities The main responsibilities will include but not be limited to the following areas Assist the surveyors with the preparation and submission of proposals quotations terms of business and contracts Assist the surveyors with the formatting and preparation of valuation reports Act as the first point of contact for all enquiries made to the office Maintain collaborative relationships with clients managers and employees Set up and or update electronic filing systems records and reports for the team Liaise with the office manager to keep a track of and replace office supplies and place orders when necessary Manage phone calls and correspondence email letters packages etc All other ad hoc administrative and reception duties as required Coordinating portfolio valuation inspections time frames and information with the regional offices ensuring all information is collected as required Assisting in research for reports where required Ensuring that the correct report and appendices are completed as per identified guidelines Updating bank contracts and providing company information as requested Perform general administrative duties including but not limited to photocopying mail distribution filing report binding and minute taking when required Inputting information into database Prepare invoices reports memos letters and other documents using word processing and spreadsheet Assisting the organisations HR function by keeping personnel records up to date arranging interviews and so on Provides professional frontofhouse response to all telephone and inperson enquiries from visitors
