Role Summary
The Administrative Officer provides comprehensive administrative, secretarial, and coordination support to the Office of the Vice Chancellor. This role ensures the smooth flow of communication, organization of meetings and events, and management of confidential documentation, while maintaining the highest level of professionalism and discretion.
Key Responsibilities
Coordinate and perform a variety of administrative and secretarial tasks for the Vice Chancellor’s Office.
Act as the first point of contact for faculty, staff, students, and external stakeholders—handling calls, correspondence, and inquiries professionally.
Organize and facilitate meetings and events, including scheduling, agendas, minutes, and follow-ups.
Draft, prepare, and edit official documents, correspondence, and presentations in both English and Arabic.
Translate documents between Arabic and English as required.
Manage travel arrangements, office records, and filing systems.
Update and maintain databases, ensuring accuracy and confidentiality.
Oversee the work of junior administrative staff or trainee students.
Manage office supplies and ensure smooth day-to-day operations.
Participate in training, workshops, and professional development to enhance skills and performance.
Qualifications & Experience
Bachelor’s Degree in Business Administration or a related field.
Minimum 3–5 years of experience in an administrative or executive support role.
Fluency in English and Arabic (written and spoken).
