Key Responsibilities

  • Operational Admin Support:
    • Provide general administrative support to the operations team by coordinating internal processes and assisting with the implementation of operational plans.
    • Assist in the monitoring and reporting of key performance indicators (KPIs) and operational metrics.
  • Assist in Project Coordination:
    • Work closely with project teams to ensure deadlines are met, resources are allocated efficiently, and any issues are identified and resolved promptly.
    • Coordinate project schedules, meetings, and follow-up tasks to ensure smooth execution.
  • Help in Process Improvement:
    • Help identify inefficiencies in current processes and recommend improvements to streamline operations.
    • Assist in the implementation of new procedures, policies, and best practices to improve workflow and productivity.
  • Communication:
    • Serve as a liaison between departments (e.g., marketing, sales, finance) to ensure alignment on operational goals and initiatives.
    • Communicate effectively with internal and external stakeholders to provide updates, resolve issues, and ensure smooth coordination of activities.
  • Inventory and Logistics Support:
    • Assist in managing inventory, ordering supplies, and coordinating logistics for operational needs.
    • Maintain accurate records of shipments, deliveries, and inventory levels.
  • Data Management & Reporting:
    • Track and maintain data related to operations, including financial, scheduling, and inventory data.
    • Assist in the creation of reports for senior management on operational performance and any challenges faced.
  • Compliance & Safety:
    • Ensure adherence to safety standards, company policies, and regulatory requirements across all operational activities.
    • Assist in conducting audits or reviews to ensure compliance with relevant laws, regulations, and company policies.

Qualifications

  • Education:
    • Bachelor’s degree in business administration, operations management, or related field preferred.
    • Relevant work experience may substitute for educational qualifications.
  • Experience:
    • 1-3 years of experience in an operations or administrative support role, preferably in a fast‑paced environment.
    • Experience in project coordination or logistics is a plus.
  • Skills & Abilities:
    • Strong organizational skills and attention to detail.
    • Excellent written and verbal communication skills.
    • Ability to manage multiple tasks and prioritize effectively.
    • Strong problem‑solving and critical‑thinking abilities.
    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with project management software (e.g., Asana, Trello, MS Project).
    • Knowledge of inventory management and logistical coordination is a plus.
  • Personal Attributes:
    • Highly motivated, proactive, and results‑oriented.
    • Able to work independently as well as collaboratively in a team setting.
    • Adaptable to changing priorities and environments.
    • Strong interpersonal skills with the ability to build relationships across different teams.
