Position Overview
The Activities Coordinator will be responsible for the strategic planning, execution, and oversight of extracurricular and afterschool activities across the school. This role requires expertise in program management, vendor coordination, compliance processes, and stakeholder communication. The successful candidate will ensure that all activities meet the highest standards of safety, quality, and regulatory compliance while providing engaging experiences for our students.

Key Responsibilities
- Program Management : Develop, organize, and manage a wide range of extracurricular activities including sports, arts, clubs, and enrichment programs.
- Establish and maintain the activities calendar, ensuring activities complement the schedule.
- Monitor the quality, relevance, and inclusivity of programs to meet diverse student interests and needs.
- Coordination & Communication : Act as the primary point of contact for parents regarding all offered programs.
- Collaborate with teachers, staff, and coaches to deliver high-quality activities.
- Manage relationships with external vendors and service providers to ensure alignment with school policies, values and compliance.
- Provide timely updates and clear communication to all stakeholders.
- Compliance & Governance : Ensure all programs comply with local and international school regulations.
- Manage approvals and maintain compliance with relevant governing bodies, including Dubai Municipality, Dubai Economic Department, KHDA, and Dubai Sports Council.
- Oversee vendor contracts, licenses, and paperwork, ensuring full adherence to legal and school requirements.
- Maintain records of risk assessments, insurance, and safety certifications.
- Administration & Reporting : Manage vendor contracts, payments, and documentation.
- Track student participation and analyze program outcomes.
- Prepare reports for school leadership on the programs’ performance, compliance, and engagement.
- Support external audits, inspections, or approvals relating to extracurricular activities.
Qualifications & Experience
Bachelor’s degree in Education, Sports Management, Administration, or a related field.Minimum 3–5 years of experience in program or activity coordination, ideally in an educational environment.Strong understanding of compliance procedures related to Dubai Municipality, Dubai Economic Department, KHDA, and Dubai Sports Council.Demonstrated experience in vendor management, policy implementation, documentation and stakeholder engagement.Excellent organizational, communication, and interpersonal skills.Ability to manage multiple priorities, work independently, and adapt to evolving school needs.Seniority level
