Personal Assistant to Chief Executive Officer

Onsite five days a week and some remote working (irregular hours when necessary)

MishiPay is an international, leading checkout technology company that allows shoppers to scan and pay for items with their smartphones or using MishiPay's industry leading, minimalist, kiosks. We are creating an enjoyable and convenient in-store shopping experience for consumers and leading retailers globally.

We help bridge the gap between online and offline shopping, while providing valuable customer data for retailers to analyze and in doing so, we’re impacting the face of retail on an international scale.

The Role

We’re looking for a full-time Personal Assistant to support our CEO. This is a busy and varied role, supporting the Founder / CEO of a rapidly scaling international company who travels extensively and often works irregular hours.

You’ll definitely have experience working as a PA or EA in a fast-paced SME or supporting a senior executive or HNWI. This is NOT a 9-5 role. You must have excellent written and spoken English, strong organisational skills, and the resilience to thrive in a demanding environment. Arabic language skills would be a good advantage, and knowledge of Dubai also, but they are not essential. You will LOVE working in a busy environment, and be passionate about maintaining incredibly high standards in everything you do.

This role involves being available outside of normal working hours, when required, to handle time-sensitive or business-critical matters — for example, booking urgent international travel, sorting visas, or rescheduling high-priority meetings. While it’s challenging and dynamic, it’s also an opportunity to support a global entrepreneur at the forefront of an exciting international business.

It's essential that you'll have arranged multiple meetings per day, organised travel and accommodation directly, rather than using agents, managed an ever-changing diplomatically, arranged visas, events, accommodation, and be used to an ever-changing environment. This is not a role for someone who doesn't like dealing with issues at short notice, or being flexible enough to jump on a problem on an evening or weekend.

Responsibilities

You will :

  • Manage the busy diary of our CEO, ensuring his schedule is maintained and up to date, and all meetings are prioritized and scheduled accordingly and appropriately, according to timezones.
  • Ensure our CEO is kept up to date on his daily schedule at all times.
  • Arrange and coordinate internal and external meetings, including executive and management meetings, Board meetings, external stakeholders and clients.
  • Prepare and coordinate meeting collateral, materials, meeting agendas, minutes, presentations, and associated reporting.
  • Be the face of MishiPay, meeting and greeting external guests, ensuring meeting rooms are booked, and visitors are looked after in a professional and friendly manner.
  • Coordinate global travel arrangements, booking international flights and accommodation.
  • Be the main point of contact for internal and external stakeholders, draft emails, and manage correspondence.
  • Handle sensitive and confidential information, remaining professional at all times.

About You

As well as the experience and attitude outlined above, you will also have :

  • Multi-tasking skills. You'll be amazing at prioritising your workload and our CEO’s requirements.
  • An ability to work closely with all members of our international team, and build trust-worthy, collaborative relationships at all levels of seniority internally and externally.
  • A strong academic background.
  • Experience in managing schedules, diaries and international travel arrangements for senior individuals within a business.
  • Strong IT skills, including Slack, MS Office, and Google-suite (Email / Drive / Calendar, etc)
  • Excellent communication skills, written and spoken. You MUST have fluent English and ideally Arabic.
  • A resilient, calm approach, it's essential that you won't get phased under pressure.
  • Flexibility, perseverance and commitment to supporting the team as we grow.

  • Be able to think on your feet to offer solutions where needed.
