FM Coordinator

Job Purpose :

Responsible for helping oversee the overall operations of the Facilities Management services.

– Work closely with FM Engineer to support all FM team and FM activities.

– Provides administrative support to FM organization.

– Coordinates with FM team, vendors, suppliers, and clients.

– Responsible for maintaining records and contracts.

Key Responsibilities :

• Communicate with FM team the daily reactive maintenance. Monitor the completion of works. Keep record of work order form and pictures. Updates the ticket in CRM system.
• Coordinate with all subcontractors to ensure planned preventive maintenance of all specialized services are carried out as per the schedule. Check all service reports. Any issues are being highlighted to FM Engineer and communicates to subcontractor and Client for rectification.
• Monitor all additional jobs. Communicates with FM team the status of each work. Keep record of all supporting documents and communicates with Client for the job completion.
• Sends request of quotations to subcontractors for all rectifications / additional jobs required at all Sites. Review the scope of works, negotiate the prices. Prepares the comparison report.
• Prepares the LPO and performs Product Receipt in the system.
• Prepares Business Proposals, draft of Contracts, quotations and correspondence.
• Prepares all reports (monthly report, daily energy consumption, end of lease, reactive, variable jobs, petty cash, payment tracker)
• Responsible for scheduling the reactive jobs and additional jobs (tenants and subcontractors).
• Organizing all files, maintains records of all documents and documenting all FM activities.
