Position Purpose
The Executive Assistant to the CEO is responsible for delivering high-level administrative, organizational, and strategic support to ensure the effective operation of the CEO’s office. The role covers managing complex schedules, preparing reports and executive summaries, handling confidential communications, and coordinating key meetings and projects.
Expected Outcome
Efficiently managed CEO office operations, well-prepared documentation, streamlined communication, and proactive support that enables the CEO to focus on strategic priorities and drive EVA Interiors’ business objectives.
Key Accountabilities
Key Accountability 1 : Executive & Calendar Management
- Manage and prioritize the CEO’s calendar, meetings, travel, and events.
- Anticipate scheduling conflicts and proactively resolve them.
- Ensure smooth coordination of daily, weekly, and monthly agendas.
Key Accountability 2 : Reporting & Documentation
Prepare executive summaries, reports, briefing packs, and board materials.Draft, review, and proofread correspondence, ensuring accuracy and professionalism.Maintain effective document control systems with version tracking.Key Accountability 3 : Meeting & Communication Support
Coordinate high-level meetings, prepare agendas, and compile supporting documents.Record accurate minutes, track action points, and follow up on execution.Act as liaison between CEO and stakeholders, ensuring timely communication.Key Accountability 4 : Strategic & Project Coordination
Support CEO-led initiatives by tracking milestones and preparing status updates.Conduct research, compile data, and prepare insight reports for decision-making.Coordinate with internal teams to ensure timely delivery of CEO priorities.Key Accountability 5 : Stakeholder & External Relations
Serve as the first point of contact for clients, partners, and board members.Represent the CEO’s office with discretion and professionalism.Maintain strong relationships across senior leadership and external networks.Operating Environment
The Executive Assistant operates in a high-pressure, confidential, and fast-paced environment directly supporting the CEO. The role requires excellent judgment, prioritization, and the ability to manage multiple tasks across business, operational, and client-facing contexts simultaneously.Technical Skills & Knowledge
Fluent in English (written & spoken)Fluent in ArabicAdvanced MS Office Suite (Word, Excel, PowerPoint, Outlook)Expertise in scheduling tools and digital collaboration platforms (Teams, Zoom, Google Workspace)Strong executive reporting, summarization, and document control skillsProject coordination and stakeholder management experienceBoard-level reporting and presentation preparationERP / CRM system knowledge (Epicor, Salesforce, etc.)Excellent interpersonal and communication skillsStrong organizational and time-management skillsHigh attention to detail and accuracyExperience
